Restoring a Backup to an Earlier Version of QuickBooks If you are using QuickBooks 2010 and above, there is another utility function to restore a current backup file to an earlier version. For example, you have your company file in QuickBooks 2013 and have made a backup file. A QBB file is created by Intuit's Quick Books software when the backup feature is utilized. These files are proprietary and cannot be read by any other software.

The company file in QuickBooks for Mac contains a complete copy of all your accounts data. Before backing up your QuickBooks company file on a Mac computer, configure the program's backup preferences to designate a save location and security password for the backup file. You can also choose to activate automatic backups that save your accounts data every two to 24 hours or when you exit the program.
1.Launch QuickBooks for Mac. Click the 'QuickBooks' tab in the main menu bar, and then select 'Preferences' followed by 'Backup' to open the Backup preferences dialog window.
2.Click to enable the 'Automatically back up company files every' check box, and then choose your preferred time interval from the drop-down menu; for example, '2 hours.' Also enable the 'Automatically back up company files when closing' check box if you want QuickBooks to back up data each time you exit the program.
3.Click the 'Save backup files in' drop-down menu button and choose your preferred save location for the backup file. Use an external hard drive if you have one available, or select a folder on the Time Machine drive if you use the integrated Apple Time Machine backup system.
4.Click to enable the 'Overwrite last backup' check box if you want to save disk space and automatically overwrite the previous backup file with the latest version.

Click to enable the 'Encrypt files with password' check box, and then click the 'Change' button to set a new password. Skip this step if you don't want to password-protect the backup file.
6.Select the 'Save attached aocuments library' check box to store a copy of all attached documents, such as invoices and purchase orders, with your company file in the backup. QuickBooks will now use your preferences to back up the company file.
7.Click 'File' in the main menu, and then select 'Backup' in the drop-down menu to back up data at any time.
Tip
- QuickBooks saves your backup data as a disk image file with the .DMG file extension. To restore a backup, double-click the DMG file to mount it, and then drag the company file with the .QB2013 extension to your preferred computer folder. You can then open the backup company file with the attached document library from the QuickBooks Preferences menu.

The QuickBooks Online Backup service provides a way to store your company's financial backup files online. The backups are scheduled to occur automatically, but you can also run a backup manually. When your data is restored, the data in your QuickBooks program gets replaced with the latest data stored online. The QuickBooks Online Backup service uses Web Restore to restore your backups, and if you have Inuit Data Protect, you can restore directly from QuickBooks. If you don't have an online backup service subscription, you can restore the latest backup from your local hard drive or external storage device.
Download Backup File Using Web Restore
1.Navigate to the 'QuickBooks Online Backup Login' website (link in Resources).
2.Enter your credentials in the Account ID and Password fields.
3.Click the 'Web Restore' button. Install the ActiveX control, if prompted.
4.Complete any of the actions requested by the onscreen prompts. The instructions may vary depending on the configuration of your system.
5.Create a folder on your desktop and name it 'Backup' when prompted to select a restoration location.

Click 'Restore,' and then complete the process to restore a local backup file.
Restore Local Backup File
1.Insert the CD or other external storage device that contains your backup if your backup is not located on your hard drive.
2.Click the 'File' menu in QuickBooks, and then click 'Open or Restore Company.'
3.Click 'Restore a Backup Copy,' and then click 'Next.'
4.Select the 'Local Backup' option, and then click 'Next.'
5.Locate your backup file on your hard drive or external storage device, and then click 'Open.' If the file was downloaded from QuickBooks Online Backup, click the 'Lock' button, if prompted.
6.Select your backup file, click the 'Open' button, and then click 'Next.' If QuickBooks notifies you that there's an existing file, click 'Replace' and overwrite the file if you are certain that you don't need your old backup file. Otherwise, click 'Cancel,' rename your current backup file, and then complete the process again.
7.Click your backup file to confirm your selection, and then click 'Save.'
8.Copy any of the required files specified in the HowToRestoreExternalFiles.Txt file to your new backup location. This file, located within the Restored Files folder, tells you what files to copy and how to complete the process on your system.
Restore With Intuit Data Protect Subscription
2.Open the 'Backup Status' section, and then click 'View Details.'
4.Select the date and time of the backup you want restored, and then click 'Continue.' Backups are stored for 45 days.
5.Choose or verify the location you want to restore the file to, and then click 'Restore.'
